Duration: 12 Months+ (Possibility of Extension)
Pay Rate: $33/hr, on W2
Job Overview:
The IP Operations Assistant supports the IP Operations team by assisting with trademark data review, verification, and related administrative tasks. This role interacts with in-house and outside counsel as well as business teams and requires an experienced, proactive, and detail-oriented individual.
Key Responsibilities:
- Interpret trademark correspondence to identify and resolve data entry errors or inquiries from outside counsel.
- Manage trademark assignments and chain of title changes, including communications with outside counsel.
- Verify details of Powers of Attorney (POA), assignments, and related documents; prepare them for attorney signature, notarization, and legalization.
- Support departmental projects, including organizing POAs, running reports, and verifying data.
- Assist with overflow projects and provide backup coverage during team member absences.
Qualifications & Requirements:
- Minimum of 3 years of trademark experience, particularly with assignments and chain of title changes.
- Preferred: New Jersey Notary certification (not required).
- Strong organizational, teamwork, and time management skills with attention to detail.
- Experience handling high-volume, complex data; ability to multitask and work under pressure.
- Proficiency in Excel (including pivot tables), Microsoft Outlook, and Adobe Acrobat.
- Proficient in trademark IPMS databases, preferably Memotech.
- Understanding of trademark law sufficient to perform duties with minimal supervision.
- Strong written and verbal communication skills for interaction at all management levels.
- Comfortable using information technology and document management tools.
- Proven ability to manage projects independently and provide clear updates to the IP Operations Manager.
Work Arrangement:
- Hybrid role; location flexibility with some remote and some on-site work as required.
- This position is ideal for someone who is highly organized, detail-oriented, and experienced in IP operations, particularly trademark management and assignments.
