Summary:
- The Procurement Coordinator is responsible for supporting business operations with a primary focus on procure-to-pay processes within PharmSci.
- Drives efficiencies across sourcing activities and liaises with Procurement, Finance, and PharmSci team members to ensure consistent methodology for generating and managing purchase orders end-to-end.
Key Responsibilities:
- Generate requisitions and manage purchase orders across all lines within PharmSci, including document management, completeness review, approvals, and discrepancy resolution.
- Interface with PharmSci colleagues, Procurement, Finance, and vendors to ensure seamless procure-to-pay processes.
- Manage documents associated with POs (e.g., quotes, Statements of Work) ensuring proper signatures and attachment to requisitions.
- Assist with setting up new vendors and maintaining existing vendors in Ariba.
- Extend end dates and/or close purchase orders as needed.
- Review invoices and communicate discrepancies to vendors.
- Collaborate with vendors, business contacts, Finance, and Procurement to resolve issues.
- Support operational reporting by gathering monthly metrics related to PO approvals, spend, savings, discrepancies, and contractor costs.
- Monitor PO spend, identify significant over- or underspend, and communicate findings to business owners.
Skills:
- Strong planning, prioritization, and organizational skills.
- Ability to manage multiple tasks/requests simultaneously under time constraints across global time zones.
- Excellent written, verbal, and listening communication skills.
- Strong negotiation skills with ability to manage customer relationships effectively.
- Proficiency with Microsoft Office, especially Excel (pivot tables and similar tools).
- Experience with Ariba Spend Management or other procurement tools preferred.
Education / Experience:
- Bachelor’s degree in Management, Accounting, Finance, Economics, or related field.
- 3–5 years of relevant experience in a similar function, preferably in finance or procurement.
