Job Title: Senior Scheduler
Location: Onsite – Basking Ridge, NJ 07920
Duration: 3 months+ W2 contract (potential for extension based on performance and business needs)
Pay Rate: $22.58/hour (W2)
Schedule: Monday – Friday | 9:00 AM – 5:00 PM EST
Job Summary:
The Senior Scheduler serves as the lead point of contact for scheduling home health aide services. This position manages complex caseloads, ensures efficient communication between clients, caregivers, and internal departments, and supports administrative coordination with the billing team. The Senior Scheduler also mentors and trains new Administrative Service Coordinators in scheduling and EMR systems.

Job Summary:
The Senior Scheduler serves as the lead point of contact for scheduling home health aide services. This position manages complex caseloads, ensures efficient communication between clients, caregivers, and internal departments, and supports administrative coordination with the billing team. The Senior Scheduler also mentors and trains new Administrative Service Coordinators in scheduling and EMR systems.
Key Responsibilities:
- Receive and screen requests for home health aide services.
- Collect supplemental information from families, agencies, or referral sources to assess client needs.
- Explain agency services and policies to clients and families.
- Refer clients outside the agency’s Product to appropriate community resources.
- Verify and communicate health insurance coverage details with clients.
- Manage a caseload as assigned by the Office Manager.
- Maintain and update client information including referrals, schedules, and billing details in the EMR system.
- Schedule aides for assigned cases and handle necessary updates or changes.
- Notify Case Managers of aide changes requiring supervision.
- Ensure proper documentation and communication upon service termination.
- Track aide performance (attendance, tardiness, work history) and escalate disciplinary needs to the Business Office Coordinator.
- Communicate aide-related concerns and recommend action plans to the Office Manager.
- Notify the Billing Office of updates in billing status and enter corresponding notes in EMR.
- Coordinate closely with Case Managers and the Clinical Manager to respond to service needs.
- Participate in agency planning and performance improvement initiatives.
- Handle reports from after-hours and weekend on-call staff and ensure continuity of care.
- Provide detailed handoff reports to on-call staff during evenings and weekends.
Supervisory Responsibilities:
- Train and mentor new Administrative Service Coordinators on the EMR system and scheduling workflows.
Education:
- Associate’s Degree required
- Minimum 1 year of experience in Home Care, with a focus on scheduling or similar duties
- Customer service experience
- Proficient in multitasking and using multiple software applications simultaneously
- Excellent oral communication and organizational skills
- Strong computer literacy
- Ability to interact professionally and courteously over the phone
