Job Title: Admin Assistant – Training Coordinator
Location: Arden Hills, MN 55112
Schedule: Preference for onsite (5 days/week); remote work allowed when no training events are scheduled
Duration: 12-month W2 contract with potential for temp-to-perm, depending on performance and budget

Pay Range: $22 – $28/hour (W2)
Shift: 8:00 AM – 4:30 PM CST

Job Overview:
We are seeking an organized, proactive, and team-oriented Administrative Assistant – Training Coordinator to support our dynamic Sales Training department. This role involves coordinating training logistics, managing administrative tasks, and ensuring smooth execution of training events.
 
Key Responsibilities:
  • Training & Event Coordination:
    • Arrange travel, hotel accommodations, meals, and shuttle services for training attendees.
    • Coordinate with trainers to ensure training rooms are properly set up (AV, equipment, supplies).
    • Work with corporate Cvent team to ensure hotel and venue bookings meet compliance standards.
  • Administrative Support:
    • Perform general administrative duties (scheduling, meeting planning, document preparation).
    • Create, edit, and proofread correspondence, presentations, and internal documents.
    • Maintain confidentiality, especially around sensitive employee and departmental information.
  • Customer Interaction:
    • Serve as a point of contact for internal team members and external stakeholders.
    • Provide information and direct inquiries based on established policies and procedures.
  • Project Coordination:
    • Assemble and distribute training materials.
    • Track and verify training data and attendance.
    • Coordinate small projects independently using internal and external resources as needed.
 
Qualifications:
  • High School diploma or equivalent required; associate degree or higher preferred.
  • 3–5 years of experience in administrative support or event/training coordination.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with tools such as Cvent, Ariba, and Concur (preferred).
  • Exceptional communication and interpersonal skills.
  • Strong organizational and time management abilities.
  • Detail-oriented with excellent problem-solving skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
