Clinic Support Specialist

Schedule Notes:

Ideal shift 9a-1p or 11a-3p (20 hours per week)

Pay Range: $18-$21/hr.



Job Summary:

Facilitates pre-appointment coordination for patients receiving specialty care. Coordinates with the providers and the clinical care team to prepare for a successful visit. The Clinic Support Specialist will collect medical records, manage the right fax process and review and distribute incoming mail. Provides all other appointment coordination as needed.

Job Responsibilities:

-Coordination of care/information with care team and/or administration.

-Secures information pertinent to the patient visit.

-Obtains internal and external records including but not limited to medical records, scans/imaging and pathology slides.

-Arranges for courier service when needed to obtain records.

-Completes intake with as much data/facts/information as possible to assure appropriate registration, scheduling and insurance reimbursements.

-Provides Right Fax management.

-Handles mail retrieval and distribution.

-Creates and maintains documentation.

-Coordinates patients information and/or patient care.

-Conducts telephone interviews, collects data, assess and prioritize record collection needs.

--Communications:

-Communicate effectively with other members of the health care team at all levels to ensure effective service.

-Uses communication approaches appropriate to patient/family/staff needs.

-Communicates verbal and written information in clear, concise, accurate, and timely manner.

-Follows agreed upon scripting for conversations with patients.

-Demonstrates ability to provide care or service adjusting approaches to reflect developmental level of population served. (as applicable)

-Communicates in a respectful manner.

-Ensure a safe, secure environment.

-Partners with patient/caregiver/management in care/decision making.

-Individualizes care/service plan to meet patient/customer needs.



Required Skills & Experience:

-Prior experience in complex patient scheduling and registration in a clinic setting.

-Two (2) to three (3) years of strong customer service experience.

-Basic research skills regarding clinical trials.

-Good medical terminology skills.

-Strong attention to detail and organizational skills.

-Broad knowledge of specialty service line.

-Conflict management and problem solving skills.

-Good critical thinking and prioritization skills.

-Excellent interpersonal and communication skills.

-Empathy.

-Excellent communication and presentation skills.

-Knowledge of different cultural group s needs and desires.

-Customer service knowledge and skills.

-Ability to utilize appropriate resources.

-Knowledge of confidentiality policy.

-Ability to modify interventions/ education based on population served.

-Ability to recognize communication barriers and seek assistance to minimize communication barriers.
