Who We’re Looking For:
  • The ideal candidate will provide high-level administrative support to the VP of Men’s Apparel Product and be the lead administrative assistant for the Men’s Apparel Team.
  • The role requires professionalism, exceptional organizational skills, and the ability to handle sensitive information in a fast-paced environment.
  • This individual will be a trusted advisor and thought partner to the VP, assisting with everything from strategic calendar management to complex travel arrangements, event planning, and more.
 
Key Responsibilities:
Support the VP of Men’s Apparel Product:
  • Act as a confidential sounding board and decision-making partner.
  • Proactively manage the VP’s calendar, scheduling meetings across multiple teams and time zones.
  • Book domestic and international business travel and prepare detailed itineraries.
 
Team Support:
  • Lead team meetings, creating agendas, managing attendees, and collaborating with operations to ensure successful execution.
  • Act as a mentor for senior administrative assistants within the team, aligning expectations and helping with workload management.
 
Event and Meeting Coordination:
  • Plan and execute team meetings and events, including venue selection, catering, materials preparation, and A/V planning.
  • Manage logistics for large-scale department moves and other cross-functional projects.
 
Organizational & Administrative Support:
  • Track and submit expense reports for the VP and yourself.
  • Manage organizational charts and distribution lists.
  • Provide administrative support across various functions (Design, Tech Dev, Merchandising, etc.).
 
Cross-Functional Collaboration:
  • Collaborate with teams across departments such as Design, Finance, Supply Planning, and more.
  • Engage with the Executive Leadership Team and external partners for various sessions and presentations.
 
Qualifications:
  • Communication Skills: Strong verbal and written communication, with the ability to work effectively with senior executives.
  • Organizational Skills: Exceptional at managing complex schedules, meetings, and travel arrangements.
  • Confidentiality: Ability to handle sensitive information with discretion.
  • Project Management: Strong skills in managing multiple tasks and projects from start to finish.
  • Software Proficiency: Experience with Keynote, Excel, PowerPoint, Word, and internal systems (Smartsheets, MS Outlook).
  • Experience: Minimum 3 years of administrative support experience, particularly at the executive level.
  • Team Collaboration: Strong interpersonal skills to work across various teams and stakeholders.
