Job Title: Admin Specialist III
Location: Plymouth, MN 55441Duration: 6+ Months (Possible Extension)
Pay Rate: $30/hr. on W2
Work Arrangement:
- Hybrid Schedule: Monday and Friday work from home; Tuesday–Thursday in office.
- Typical business hours with some flexibility.
Essential Duties and Responsibilities:
Process Invoices (US/ROW):
- Receive and log invoices from external HFE vendors.
- Review invoices with the HFE project lead.
- Process payments upon HFE lead authorization.
- Utilize two separate contract processing systems and Coupa.
Process Vendor Contracts (US/ROW):
- Partner with Ethics & Compliance across multiple geographies to draft contracts in accordance with regional requirements.
- Submit WWM review requests and obtain IRB approvals as needed.
- Establish and maintain working relationships with multiple geographic Ethics & Compliance leads (expanding beyond current US-only support in 2026).
Resolve Payment Issues:
- Collaborate with Procurement to resolve payment processing issues, including vendor banking discrepancies.
- Troubleshoot and follow through on complex payment challenges to resolution.
Change Control (CC) & Impact Assessment Support:
- Receive and catalog HFE Impact Assessment (IA) requests related to Change Controls.
- Review requests with the HFE Therapy Lead.
- Complete Impact Assessments when required.
- Prioritize and track Change Controls requiring HFE review.
Support Responsibilities:
Vendor & Procurement Collaboration:
- Partner with HFE team members to assess vendor capabilities.
- Support onboarding of new vendors in collaboration with Procurement.
- Maintain and update internal supplier lists.
R&D Operational Support:
- Assist broader Research & Development functions with ordering supplies and equipment as needed.
Qualifications:
- Strong interpersonal and communication skills.
- Ability to collaborate effectively across teams.
- Demonstrated problem-solving skills with minimal supervision.
- Proficient in Microsoft Office applications.
- Ability to proactively identify process inefficiencies, recommend solutions, and implement improvements.
Education and Experience:
- High school diploma or equivalent required; Bachelor’s degree preferred.
- Some college coursework preferred.
- Minimum 3–5 years of relevant experience.
- Minimum 5 years of experience supporting technical teams, ideally within a Medical Device Research & Development organization.
