Sr. Administrative Coordinator
The Sr. Administrative Coordinator is responsible for providing sitewide administrative support. The ideal candidate will possess excellent communication skills, be highly organized, able to work independently, and demonstrate a consistent track record of accuracy and strict confidentiality when handling sensitive information. This highly visible position also serves as a key administrative liaison with members of senior management and cross functional teams, as well as other *** global locations.

Responsibilities
Provide high level administrative support to an assigned senior leader and/or leadership team.
Efficiently manage multiple, often competing priorities with a strong focus on organization, accuracy, and attention to detail.
Coordinate and support projects requiring administrative involvement, ensuring efficient execution and timely completion.
Manage executive calendar(s), including scheduling and coordinating onsite and offsite meetings; proactively prioritize and manage time commitments.
Plan and organize meetings, prepare agendas, take minutes, track action items, and draft or respond to correspondence as appropriate.
Process and track expense reports, credit card statements, invoices, and purchase orders, ensuring accuracy and compliance with company policies.
Coordinate business travel and accommodations; prepare, reconcile, and maintain domestic and international travel and expense reports.
Serve as a point of contact for internal and external inquiries via phone, email, and in person; provide general information, route inquiries appropriately, and escalate issues as needed.
Point of contact for the scheduling of some routine site activities, including vendors and contractors. Ensures that visits are coordinated with department schedules and staff availability.
Leverage internal networks to provide prompt, accurate responses to staff across multiple functions and organizational levels.
Monitor office supplies and equipment, ensuring availability and functionality; manage inventory, ordering, and vendor relationships.
Assist with administrative and operational projects, including data compilation, light analysis, research, and cross team coordination.
Handle confidential and sensitive information with a high degree of accuracy, discretion, and professionalism.
Collaborate with other administrative staff to ensure aligned and effective support across the business.
This position requires a full time, onsite presence five (5) days per week and is not eligible for remote, hybrid, or work from home arrangements.
Qualifications
Associates degree or equivalent experience preferred.
Minimum of five (5) years of relevant administrative support experience, including support of senior leaders.
Demonstrated ability to work independently, manage multiple priorities, and meet deadlines in a fast paced environment.
Proficiency with Microsoft Office (Word, Excel, PowerPoint, Visio); SAP, experience using Concur Travel & Expense or a comparable system, international travel and expense reporting, online office supply ordering, reconciling invoices, and managing supplies and inventory.
Strong communication skills (written and verbal) and ability to work independently and professionally.
Demonstrated commitment to accuracy, attention to detail, and confidentiality in a high visibility administrative support role.
Prior pharmaceutical industry experience or experience supporting international teams preferred, but not required.
