Job Description: Job Title: Administrative Assistant - Metrology

Job Description:

We are seeking a dedicated and organized Administrative Assistant to support our Metrology department. The ideal candidate will be responsible for scheduling and providing a wide range of administrative duties to ensure the efficient operation of the department.

Key Responsibilities:

Scheduling:
Coordinate and schedule calibration and maintenance activities for metrology equipment.
Maintain the calibration schedule and ensure timely notifications and reminders are sent to relevant personnel.
Arrange and manage appointments, meetings, and training sessions for the metrology team.
Coordinate with external service providers and vendors for calibration services and equipment maintenance.

Administrative Duties:
Maintain accurate records and documentation related to calibration, maintenance, and equipment inventory.
Prepare and distribute reports, meeting minutes, and other documentation as required.
Assist with the preparation of compliance and audit documentation.
Manage and organize the department's filing system, ensuring all documents are properly stored and easily accessible.
Handle incoming and outgoing communications, including emails, phone calls, and mail.
Order and maintain inventory of office supplies and metrology-related materials.
Assist with data entry and management of metrology databases and software systems.
Provide general administrative support to the metrology team as needed.

Qualifications:

High school diploma or equivalent; additional qualifications as an Administrative Assistant or in a related field is a plus.
Proven experience as an administrative assistant or in a similar role, preferably within a technical or scientific environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with database management.
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent written and verbal communication skills.
Attention to detail and a high level of accuracy in work.
Ability to work independently and as part of a team.
Familiarity with metrology, calibration processes, and equipment is an advantage.

Preferred Qualifications:

Experience with scheduling software and tools.
Knowledge of metrology or calibration standards and practices.
Previous experience supporting a technical or engineering team.
Comments for Suppliers: Monday - Friday 8:00am - 5:00pm
