Location: Lenexa, KS
Duration: 6 months+, temp-to-hire
 
Shift: Monday – Friday, 8:00 AM – 5:00 PM
 
Job Summary:

The Contractor Travel and Relations Coordinator is responsible for managing and booking all travel accommodations for a network of over 7,000 independent contractors who support onsite events within the Health and Wellness Services division. This role also provides support in responding to contractor inquiries related to field operations, policies, and processes, and collaborates with the Event Specialist team for staffing and administrative tasks. The primary goal is to ensure an exceptional customer service experience for contractors throughout their engagement.
 
Key Responsibilities:
  • Manage and book all travel arrangements for independent contractors using third-party vendor platforms.
  • Provide finalized travel itineraries to contractors via email.
  • Make necessary travel changes including addendums, cancellations, and refunds.
  • Ensure adherence to corporate travel guidelines, budget constraints, and hotel quality standards.
  • Coordinate with corporate contacts at travel vendors (e.g., Hertz, Avis) for services.
  • Enforce corporate flight agreements and travel policy for all contractor booking.
  • Maintain and manage travel budget in collaboration with the Program Management team.
  • Handle invoicing, reconciliation, and month-end reporting.
  • Utilize a corporate credit card for bookings and update the master tracking grid for financial accuracy.
  • Respond to contractor inquiries related to scheduling, travel, portal access, and policy questions.
  • Assist in assigning contractors to events or clinics as directed by the Event Specialist Team.
  • Participate in cross-functional staffing projects as needed, especially during peak seasons.
  • Provide after-hours support for urgent travel escalations and issue resolution.
 
Qualifications:
Education:
  • Bachelor’s degree preferred (or equivalent work experience).
Experience:
  • 1–3 years of relevant experience.
  • Experience in corporate travel coordination or booking is highly preferred.
Skills:
  • Strong customer service orientation and communication skills (written and verbal).
  • Excellent organization and attention to detail.
  • Ability to multitask and work independently in a fast-paced environment.
  • Proficient in Microsoft Office, particularly Excel and Word.
  • Team-oriented and collaborative mindset.
  • Flexible availability, including weekends and extended hours as needed.
