Job Title: Patient Coordinator I
Location: New York, NY
Department: Visitor Screening – Main Entrances
Contract Duration: 13 weeks
Shift: 1:00 PM – 9:00 PM, every other weekend (EOW) and holidays
Hours per Week: 37.5/Days per Week: 5/Hours per Day: 7.5
Hourly rate: $19/hr. on W2

Role Overview:
The Patient Coordinator I serves as the first point of contact for patients—either in person or via telephone—in a busy healthcare setting. This role includes verifying insurance coverage, updating patient information, scheduling appointments, and supporting patient check-in and check-out processes. The position ensures efficient and courteous experience for all patients while maintaining compliance with HIPAA and healthcare policies.

Key Responsibilities:
  • Patient Interaction & Communication:
    • Greet patients and provide courteous, professional service.
    • Communicate with staff regarding patient arrivals.
    • Notify patients about waiting times and provide regular updates.
  • Insurance & Records:
    • Confirm and update patient demographics and insurance details.
    • Verify insurance eligibility and ensure provider participation.
    • Collect referrals or authorizations as needed.
  • Administrative Duties:
    • Handle HIPAA-related and institutional paperwork.
    • Schedule follow-up appointments and initiate reminder calls.
    • Answer phones and manage appointment scheduling.
  • Payment Processing:
    • Collect co-pays and issue receipts following cash control protocols.
    • Perform basic charge entry or payment posting (as applicable).
    • Prepare cashier’s deposits (if responsible for payment handling).
  • Compliance:
    • Follow HIPAA regulations and ensure appropriate handling of PHI.
    • Adhere to all applicable federal, state, and institutional policies.
Qualifications & Skills:
  • Education: High School Diploma or GED required.
  • Experience:
    • Minimum 1 year of experience in a physician practice or medical office setting.
    • Prior use of practice management systems such as IDX preferred.
  • Technical Skills:
    • Strong keyboarding and computer skills.
    • Familiarity with scheduling systems and basic charge entry.
  • Interpersonal Skills:
    • Excellent communication and telephone etiquette.
    • Ability to work effectively with diverse patient populations.
    • Adaptability in a dynamic, fast-paced environment.
  • Other:
    • On-site training for at least one week will be provided by the practice.
    • Knowledge of medical terminology strongly preferred.
