Job Title: Executive Assistant
Location: Pomona, CA 91768
Shift: Monday – Friday, 8 AM – 5 PM 5 days per week
Pay Range: $25-$33.07/hr.
Job Summary:
- You will support the team managing large-scale efforts to upgrade the Next Generation Enterprise Resource Planning Software System.
- This role performs clerical and administrative tasks, organizes and maintains databases, and supports meeting planning and execution.
- It involves handling sensitive information with the highest standards of confidentiality and integrity, while contributing to project success through research, analysis, and well-organized documentation.
Qualifications & Skills:
Education:
- High School Diploma or Equivalent
Required Skills & Experience:
- Four or more years of experience performing advanced administrative, Productarial, and clerical functions.
- Proficiency with Microsoft Office Suite including Outlook, Teams, Notes, Word, Excel, PowerPoint, and CoPilot.
- Experience navigating and using SharePoint.
- Experience creating files in MS Notes.
- Experience processing expense reports, purchase orders, and invoices.
- Experience managing and prioritizing multiple calendars.
- Ability to draft letters, memos, invoices, reports, presentations, and other documents.
- Ability to organize and maintain databases, libraries, and knowledge repositories, enhancing accessibility and efficiency.
- Skilled in planning and executing meetings, including agenda preparation, note-taking, action item tracking, and coordinating attendees’ schedules.
- Knowledge of business software and Artificial Intelligence tools for drafting correspondence, reports, and presentations.
- Ability to process expenditure approvals and ensure compliance with budgetary and financial regulations.
- Handles sensitive and proprietary information maintaining a high level of confidentiality.
