Job Summary:
- We’re looking for a proactive and adaptable Administrative Assistant to support our Product Creation team at the client.
- This role requires someone who thrives in a fast-paced, collaborative, and creative environment—someone who is detail-oriented, organized, and eager to learn how client brings innovative products to life.
- Act as a key administrative partner to leaders and teams within the Product Creation function, helping drive efficiency and clarity.
- Perform a wide range of administrative duties, adapting your support to different management styles and team dynamics.
- Coordinate complex scheduling needs across teams and time zones, manage conflicts, and ensure alignment for key product creation meetings and milestone reviews.
- Book travel for domestic and international trips, manage itineraries, and ensure alignment with seasonal timelines.
- Organize team meetings, offsites, and product milestone events including budgeting, agendas, catering, and space booking.
- Prepare expense reports, assist with vendor purchase orders, and track budget lines as needed.
- Support the preparation of presentations, reports, org charts, and run-of-show documents for internal meetings and workshops.
- Draft, edit, and distribute communications on behalf of leaders; manage distribution lists and ensure clarity and tone alignment with Client culture.
- Partner with leaders to foster team connection and support initiatives related to team building, workspace planning, and employee engagement.
- Develop an understanding of Client's seasonal product creation milestones and processes, using this knowledge to better anticipate administrative needs and timing.
- Serve as a central point of contact for administrative support questions and provide backup coverage for other administrative needs as required.
- You bring 5+ years of administrative experience, ideally within a matrixed or global team setting.
- You have strong organizational and communication skills, with the ability to prioritize across multiple tasks and stakeholders.
- You can work independently and as part of a cross-functional team, knowing when to take initiative and when to collaborate.
- You are comfortable working across multiple time zones, maintaining awareness of global teams’ schedules and needs.
- You demonstrate high learning agility—you’re curious, open to feedback, and eager to understand Client's product creation process and the key milestones that drive our seasonal timelines.
- You handle sensitive and confidential information with discretion.
- You are proficient in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and virtual meeting tools (Zoom, MS Teams).
- You’re flexible and occasionally able to work outside core business hours to support global initiatives.
