Administration - Travel Coordinator/Representative
Job Title: Travel Coordinator/Representative
Location: Lenexa, KS
Duration: 6 months +, Temp to Hire
Schedule: Monday – Friday, 8:00 AM – 5:00 PM CST (40 hours/week)
Availability: Must be flexible to work extended hours and some weekends as needed
Position Summary:
The Travel Coordinator/Representative plays a critical role in supporting the Health and Wellness Services division by managing travel accommodations for a network of over 7,000 independent contractors who deliver onsite event services. This position is primarily responsible for booking and overseeing all contractor travel arrangements, ensuring compliance with corporate travel policies and budget guidelines. Additionally, this role provides general support to field contractors and collaborates closely with the Event Specialist team on staffing and administrative needs.
Key Responsibilities:
- Coordinate and book travel for independent contractors using approved third-party vendor sites
- Communicate travel itineraries and updates via email
- Handle changes, cancellations, refunds, and other travel modifications
- Ensure all bookings comply with corporate travel standards, budget constraints, and vendor agreements
- Collaborate with commercial vendors (e.g., Hertz, Avis) for travel services
- Manage travel budgets in coordination with Program Management
- Use corporate credit card responsibly and maintain accurate transaction records
- Maintain a master tracking grid to ensure accurate reconciliation of travel expenses
- Reference and enforce the corporate flight agreement and travel guidelines
- Provide support to contractors regarding assignment schedules, travel, and portal access
- Assist in scheduling contractors as directed by the Event Specialist team
- Participate in projects or tasks as needed based on workload and seasonal demand
- Respond to after-hours travel emergencies when required
Qualifications:
- Education: Bachelor’s degree preferred, or equivalent experience
- Experience: 1–3 years of relevant experience; previous corporate travel coordination strongly preferred

- Exceptional customer service and communication skills (verbal and written)
- Strong organizational skills and attention to detail
- Ability to work independently and prioritize effectively in a fast-paced environment
- Proficiency in Microsoft Office applications (Word, Excel)
- Strong team player with the ability to collaborate across departments
- Flexibility to work weekends and extended hours as needed
