Job Title: Executive Assistant
Job Location: Woonsocket, RI
Job Duration: 5-6 Months(possibility of extension)
Shift: Hybrid Schedule is Tues/Wed on-site, M/Th/F remote. Hours 8:30a-5p preferred.
Payrate: $28 to $30/ hr. on w2

Job Summary:
- Provides various office and location support activities.
- Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided; ensures the correct functioning of facilities, office, and/or business support services.
Duties
- Conducts routine complex administrative office coordination assuring smooth, timely, and efficient office operations for the department.
- Administers assignments research, collection, analysis, and compilation of data and information for department reports.
- Controls the handling of files, reports, financial records, and confidential record retention ensuring regulatory compliance.
- Implements a high degree of customer service by fielding internal and external inquiries, finding resolutions, or redirecting as appropriate.
- Establishes efficient workflow and office operations of the department by communicating established policies and procedures.
- Controls the internal and external department point of contact ensuring concise communication with employees, stakeholders, and members of the senior management.
- Prepares complex and comprehensive financial records and files about departmental expenditures, budget balances, investments, payroll, and operations.
- Examines performance evaluations within the department ensuring compliance and continuous improvement.
- Identifies opportunities to staff support and administrative assistance to executive-level, senior management, or senior individual contributors as needed to ensure consistent department operations.
- Onboarding of equipment, software for new-hires.
Qualifications:
- Bachelor's degree preferred/specialized training/relevant professional qualification.
- 5+ years work experience.
- Working knowledge of problem solving and decision making skills.
Skills & Experience:
- Microsoft Office Experience (Outlook, Outlook Calendar, Word, Excel).
- Making travel arrangements and submitting expenses after travel.
- Concur system knowledge is a plus.
- Experience w/ ordering office supplies & stocking.
- Experience w/ planning large meetings and reserving conference rooms.
- Experience w/ organizing and ordering lunch and set-up.
- Experience w/ backing up other Executive Assistants.
