Job Title: Administrative Assistant – Telecom & IT Support
Location: Tampa, FL
Duration: 3–6 Months+ Contract

Schedule: 7:00 AM – 3:00 PM | Onsite (Monday–Thursday)
 
Position Overview:

  • The Administrative Coordinator will provide operational and administrative support to the Telecom and IT leadership teams. This role supports Vice Presidents, Directors, and department staff with scheduling, document preparation, expense tracking, and coordination of meetings and office operations.
  • The ideal candidate is highly organized, professional, and comfortable interacting with executives, vendors, and cross-functional teams.
 
Key Responsibilities:
  • Provide general administrative support including document preparation, formatting, and record management
  • Process and track expense reports in compliance with company guidelines
  • Support executives and team members with scheduling, administrative requests, and coordination activities
  • Prepare PowerPoint presentations, spreadsheets, and reports for leadership meetings
  • Maintain general office operations including filing, scanning, copying, and document organization
  • Coordinate meeting logistics including room setup and preparation of meeting materials
  • Order catering for meetings and team events and coordinate with vendors
  • Meet vendors at building security and escort them as required
  • Set up food and beverages for meetings and coordinate post-meeting cleanup
  • Ensure smooth coordination of office activities and provide high-quality administrative support
  • Assist with special projects and additional administrative duties as needed
 
Qualifications:
Required:
  • High School Diploma or GED
  • 2–5 years of administrative support or office coordination experience
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent communication and interpersonal skills
  • Ability to interact professionally with executives and vendors
  • Strong attention to detail and confidentiality handling
 
Preferred:
  • Associate’s degree in business administration or related field
  • Experience supporting executive leadership
  • Experience supporting IT, Telecom, or technical teams
  • Experience coordinating meetings, vendors, or office events
 
Work Environment:
  • Professional office setting
  • Business casual dress code
  • High-visibility role supporting leadership
  • Occasional coordination outside normal hours may be required
