Pay Rate: $73/hr. on w2

Job Summary:
  • We are seeking a highly organized and detail-oriented Grants & Sponsorships Manager to oversee the day-to-day operations, documentation, and governance of Independent Medical Education (IME) grants and Medical Affairs-led Sponsorships. This is a contract position embedded within the Medical Affairs Operational Excellence & Strategic Planning team and includes direct reporting directly to the Associate Director of Program Management.
  • The ideal candidate will bring a strong foundation in Medical Affairs operations, with demonstrated expertise in managing non-promotional, HCP-directed medical education grants and scientific sponsorships within a highly regulated environment. Success in this role requires exceptional project management skills, attention to detail, and fluency in cross-functional collaboration – particularly with Legal, Compliance, Finance, and Medical Strategy. The candidate must be well-versed in relevant industry codes and internal SOPs, and capable of independently navigating documentation workflows, systems oversight, and the governance processes that ensure funding decisions are strategic, transparent, and fully compliant.
 
What will you do?
Grants & Sponsorship Operations
  • Manage the end-to-end lifecycle of all IME grant and Medical Affairs-led sponsorship requests, including intake, triage, compliance review, approvals, contracting, and reconciliation.
  • Serve as the operational lead and meeting facilitator for all formal review sessions, ensuring timely reviews, quorum management, and documentation of votes and minutes.
  • Coordinate submission reviews across Global, U.S., and International Medical Affairs teams, ensuring adherence to defined timelines (e.g., 45-day review windows).
  • Partner with cross-functional stakeholders to evaluate strategic alignment with regional and global medical plans.
 
Systems & Compliance Oversight
  • Process and track submissions using electronic platforms. Ex. Veeva
  • Ensure proper classification of grants (e.g., accredited vs. non-accredited), completion of due diligence (e.g., debarment/exclusion screenings), and documentation of funding decisions.
  • Support contracting workflows by collaborating with Legal Contracting to finalize Letters of Agreement (LOAs) and amendments.
  • Monitor program delivery for alignment with industry standards for evidence-based, fair, and balanced content per policy guidelines.
  • Lead or support reconciliation efforts post-event to confirm proper fund usage, metrics reporting, and return of unused funds (as applicable).
 
Strategic Planning & Reporting
  • Contribute to the annual Medical Affairs strategic planning process, including review of therapeutic area needs, budget forecasting, and area-of-interest development.
  • Develop standardized templates, checklists, and operational procedures to drive efficiency and consistency across grant and sponsorship reviews.
  • Track and analyze portfolio metrics to identify trends and opportunities for process improvement.
  • Ensure proper documentation is retained for audit readiness and transparency reporting.
 
Additional Information
This is a contractor role. Candidates must be authorized to work in the U.S.
Occasional travel (<10%) may be required for key in-person meetings or congress-associated engagements
 
Skills:
  • Deep understanding of industry standards for IME, CME, and third-party sponsorships, including U.S. and ex-U.S. compliance regulations (e.g., Sunshine Act, EFPIA, OIG guidelines).
  • Expertise in Microsoft 360.
  • Proficiency in grant management and review systems. (e.g., iEnvision, Veeva, BlueReview).
  • Experience coordinating across matrixed, global teams with Legal, Compliance, Medical Strategy, and Finance.
  • Excellent project management, facilitation, communication, and documentation skills.
  • Ability to independently manage multiple concurrent priorities in a fast-paced, regulated environment.
 
Additional Skills:
Experience managing external education providers and grant programs including financial and program reconciliation.
 
Education:
Education: Bachelor’s degree in Life Sciences, Business Administration, or related field (advanced degree or PMP certification preferred).
 
Experience:
  • 3+ years of experience in Medical Affairs operations, medical education, or medical grants and sponsorships management in the pharmaceutical/biotech or healthcare industry.
  • The ideal candidate will have sufficient prior experience to contribute immediately. They should be capable of reviewing existing systems, SOPs, and processes, and confidently taking ownership of their responsibilities with minimal oversight. This role requires someone who can quickly assess the current landscape and move forward with limited day-to-day guidance.
