Title: Executive Associate/ Executive Assistant
Location: Morristown, NJ- HYBRID (min of 3 days onsite )
Duration: 12 Months+
Pay Range: $45-$48/hr

Provide administrative support to Associate Vice Presidents, Directors and their teams by providing the following functions: Independently perform a variety of administrative, clerical and general business activities to maintain and support the efficient operation of their departments. Also maintain calendars/schedule appointments and meetings (including venues, videoconference, teleconferences and eMeetings); make domestic/international business travel arrangements (including agendas, registration for seminars or meetings, reconcile expense reimbursement); provide computer/project support as appropriate; and effectively manage multiple, complex administrative tasks with ability to work effectively with all levels of associates and management.
Responsibilities:
• Assist in the preparation of eAED’s and eDE’s for contractors and associates and provide orientation to new associates and/or contractors in SD-US.
• Work closely with Executive Administrative Assistant and Administrative Assistant counterparts within the department and the company at large to coordinate meetings and any and all departmental activities, including product assignment list, coordination of vacation schedule and collection of data when requested by management.
• Responsible for scheduling, recording and following up on action items resulting from weekly meetings and upper management requests.
• Manage Associate Vice President's complex and changeable calendar, coordinate travel arrangements (domestic and international) and schedule meetings.
• Be responsible for compilation and accurate input of weekly and monthly accomplishments into executive summary for senior management.
• Provide back-up administrative assistance to other assistants within the department
• Provide administrative support to GPE associates while in Bridgewater or other, including scheduling meetings and making travel arrangements
• Participate in GPE AA quarterly meetings, give input and prepare presentations when required
Skills required:
• Excellent communication skills (oral/written) in the native language and preferably in English as well when English is the second language).
• Ability to prioritize work in a fast-paced, deliverables oriented department.
• Excellent interpersonal skills with ability to work with all levels of associates including management both within and outside the department, including outside experts and their staffs.
• Good working knowledge of Microsoft Word, Excel and PowerPoint with the ability to quickly learn other systems and databases as needed.
• Demonstrate proactive initiative and ability to adapt to changing situations.
• Excellent attention to detail and proof-reading of finished tasks.
• Coordinate every aspect of working with outside experts (Confidentiality Agreements, Contract Request Forms, eContract Approval Forms, Consulting Agreements and Work Orders, invoicing and payment of these experts). This includes communicating with these experts and their staffs.

Must Have skills:
- Minimum of High School Diploma
- Minimum 10+ years of experience in related role
- Previous experience with calendar management, who travels, expense reports, book travel, hotels, may require early and or after hours
- MS Office/ Advanced Calender management skills
- Zoom, MS Teams
- Advanced Excel skills (advanced skills, pivots, cleaning up reports
- Power point, ability to create and edit power points
- Bachelor’s degree preferred, higher degrees will be considered
- Plus/ Preferred Pharma experience, seen as a plus
- Concur, Workday is highly desired
- Experience in Learning department is seen as a plus
- MS Copilot
- Previous experience with project management, learning transformation, tracking PO’s, approving PO’s is seen as a plus
