Job Description:
- The Facilities Associate supports a range of essential facility operations and administrative tasks.
- This role includes assisting with building and transportation initiatives, conducting building inspections, and supporting contractor programs.
- Key responsibilities involve supporting facility improvement projects, managing access cards, maintaining databases, report generation, events, hospitality/catering and delivering the highest standards of customer service amplifying the occupants’ WorkPlace Experience.
- They also handle digital and hardcopy resource updates, contribute to building safety and security efforts, and provide some administrative duties such as ordering supplies and creating purchase orders.
- The role requires strong organizational, communication and negotiation skills, along with the ability to work independently and manage multiple tasks efficiently.
- Support Facilities Team with building projects for the campus
- Liaise with Day Porter for event set up and waste management
- Support coordination of internal meeting room bookings and resources
- Support key management, drawer assignments and secure room access
- Support building access card process and systems, including report generation
- Support new employee onboarding
- Support co-working spaces and track utilization
- Support hospitality services and catering
- Support employee transportation initiative, budget and utilization tracking
- Create digital and hardcopy resources or signage
- Support safety and security initiatives for events and guests, as needed
- Support creation or update of SOP’s, purchase orders, including placing orders
- Conduct building inspections for identification of maintenance issues and safety infractions
- Communication: Ability to clearly and effectively communicate with your team and customers, problem solve by effective listening, influence by understanding your customer’s needs.
- Teamwork & Collaboration: Ability to excel in a team environment with professionalism and a customer service mindset aligned to our corporate culture and values. Ability to multitask and prioritize workflow.
- Organizational Skills: ability to self-manage multiple priorities and assigned tasks. Attention to detail and commitment to quality.
- Software: strong computer skills required with gSuite. Preference given for individuals who have some experience with spreadsheets, data analytics or utilization of Everyday AI tools.
