Job Title: Associate Logistics Coord
Location: Highland Heights, KY
Job Duration: 6 months (High possibility of extension)
 
Shift: Monday - Friday, 8:00 AM - 5:00 PM (First Shift)
 
Job Description: Summarized Purpose:
Provides support to clinical supplies operations and administrative activities in all areas of clinical supplies lifecycle.
 
Essential Functions:
• Coordinates, supports and performs administrative work to support the department.
• Supports the day-to-day operations of the study drug, comparators and ancillaries’ management.
• Supports department project team on assigned task.
• Completes role specific training compliance and time sheets completion and release.
• May coordinate or serve as a liaison cross-functionally.
• Issue Pro-forma invoice for shipments from kit vendors to sites.
• Maintains the Proforma mailbox, sending proforma invoices to the IOR for approval, making any changes required and release to kit vendor for shipment.
• Maintains courier contact sheets
• Actively solves problems to ensure timely delivery of both inbound and outbound shipments.
• Responsible for daily interaction with clients/IOR to ensure correct delivery of supply orders to clinical sites.
• Escalates to Project Manager and/or designee when client/IOR is unresponsive, and study timelines are impacted.
• Point of contact for issues and questions related to proforma invoices for supply orders and Courier Contact Sheets.
May assist with or participate in:
• Solving courier issues and managing courier operations
•Courier operational meetings and reports to Upper Leader any issue or concern.
• Supports the Associate Logistics Coordinators
• Coordinate the review and action required on custom reports
• Supports in the investigation and resolution of Quality Events
• Supports logistic & administrative activity
• Attends training on new regulations concerning GMP and GDP activities.
 
Education and Experience:
• High / Secondary school diploma or equivalent and relevant formal academic / vocational qualification
• Previous experience preferred that provides the knowledge, skills, and abilities to perform the job (comparable to 0 to 1 year)
 
Knowledge, Skills and Abilities:
• Basic English and good communication skills both written and verbal
• Good organizational skills with strong attention to detail and high-quality deliverables
• Good computer and data entry skills
• Capable of working on issues of diverse and confidential information
• Capable of working in a team environment as well as working independently with direct supervision
• Adaptive to changes
• Ability to utilize proper channels of communications to voice concerns and suggestions
 
Training:
  • Training over teams one-on-one with a Senior team member.
