Job Title: Production Assistant Coordinator
Location: North Hollywood, CA 91605 (Onsite)
Duration: 3 Months
Pay Range: $18/hr. - $21/hr.
Qualifications:
Responsibilities:
- This temp will be expected to work out of the Los Angeles Asset Center location, and will report into the Manager, Production Assets.
- Willingness to work overtime and on weekends with short notice.
- Must be willing to submit to a background investigation.
- Must have work authorization to workin the United States.
- Excellent organizational and multi-tasking skills.
- Flexible, personable, self-starter, and extremely detail-oriented with the ability to interface with the outside vendors as well as all levels of Client staff.
- Ability to work well with others and collaborate across the organization to achieve goals.
- Ability to work well in a fast paced, deadline driven environment.
Essential Responsibilities:
Warehouse & Crew:
- Help oversee facility needs/housekeeping; calling the plumber, Client, power, lighting, A/C units, roll-up doors.
- Schedule routine maintenance for the warehouse and monitor and purchase necessary items for the warehouse.
- Host tours of the warehouse.
- Support with IT, inclusive of assisting with crew accessing iPads, creating log-ins, etc.
- Help with scheduling Liquidator pick-ups, donations, and sales as well as respond to email inquiries sent to the LA Warehouse.
Show Communications/Logistics:
- Assist with production reach-outs, email communications, and scheduling calls for launch & wrap calls with each ttle, reviewing all Client SOPs.
- Send meeting invites, attend meetings, take minutes, and send out post- call notes to all members on cal.
- Schedule, attend, and take notes for the show dead strike meeting with productions to make detailed plans on returns, what can be sold, and donate.
- Schedule, attend, and help take notes for the manager for stage visits,
- see the onset of Assets, Assist with vetting organizations with Comcast vets, for productions.
- Donation & Sales agreements - complete agreements via templates.
- Help coordinate transportation between sites, plan labor, order forklifts, and coordinate with
- production on pick-ups and drop-off.
- Show reports update Smartsheet, with the latest show status.
- Send out communications to the crew/team of the show status.
- Assist with miscellaneous Prod Exec request for Asset Pick-ups of high-value items.
Additonal Administrative Duties:
- Process monthly storage bling.
- Collect monthly Shopper Sheets forall departments, save inthe management folder, and update to enable savings.
- Process monthly invoices for vendors (LA, NY, VAN, TOR, ATL).
- Vendor conbearding (LA, NY, VAN, TOR.ATL).
- Answer vendor inquires on biling and support (LA, NY, VAN, TOR, ATL).
- Maintaining intemal vendor log and department contact sheets.
- Assist with creating labor estimates for house labor, show strikes, and support
- Track cost and provide updates to production (Tracking transpo, dumpsters, dy cleaning, supplies & labor hours).
- Assist with EP timecard submission and labor distribution.
- Help with requesting ID badges and making drive-ons forthe backlot, for when SWE have crew onsite, SNAP Receipts: assist with saving and digitizing.
- Assist with ad-hoc projects and tasks, as needed.
