Job Title: Financial Counseling Coordinator
Location: Menomonee Falls, WI 53051
Duration: 3+ months (possible extension)

Job Summary:
The Financial Counseling Coordinator serves as the primary resource and lead for the Financial Counseling team. This role provides leadership, advanced operational support, and subject-matter expertise to ensure accurate, compliant, and efficient financial counseling services across hospital locations. The Coordinator supports staff development, workflow management, quality improvement, and regulatory compliance while collaborating closely with leadership and cross-functional teams.
 
Key Responsibilities:
Leadership & Team Coordination:

• Coordinate Financial Counseling team coverage, staffing, scheduling, PTO requests, timecard management, and call-ins.
• Provide leadership, training, mentoring, and ongoing support to Financial Counselors.
• Lead team huddles to communicate updates, address challenges, and promote engagement.
• Travel between hospital locations as needed to provide training and operational support.
• Provide input to management regarding staff performance, professional conduct, and documentation needs.
• Assist in the preparation of objective annual performance evaluations.

Financial Counseling Operations:

• Ensure compliance with organizational standards for:
  • Medicaid eligibility assessments
  • Marketplace insurance enrollment
  • Financial Assistance applications
  • Patient estimates and prepayment collections
• Assist Financial Counselors with complex or escalated cases, identifying alternative resolution or processing options.
• Cross-train and provide backup coverage to ensure adequate staffing across all department areas.

Quality & Compliance:

• Promote continual quality improvement through random audits of daily reports and staff activity.
• Work with related organizations and vendors to resolve patient financial issues.
• Stay current on all regulatory updates and policy/procedure changes related to Certification Application Counselor responsibilities.
• Ensure adherence to state and federal regulations and organizational policies and procedures.

Workflow & Epic Work Queues:

• Ensure Epic work queues are managed accurately and in a timely manner.
• Monitor Financial Counselor work queues to ensure:
  • Initial patient financial activities are completed
  • Outstanding balances are addressed
  • Insurance verification and subsidy sources are secured
• Support timely processing of Financial Assistance applications.

Communication & Collaboration:

• Respond to staff inquiries and provide guidance on ongoing work.
• Participate in or lead staff training as directed.
• Communicate findings, issues, and observations clearly and promptly to management and relevant departments.

 
Required Skills & Experience:

• 7–10 years of focused, relevant experience in financial counseling, healthcare revenue cycle, or related field.
• Strong leadership, organizational, and problem-solving skills.
• Ability to manage multiple priorities and workflows effectively.
• Excellent communication and interpersonal skills.

Preferred Skills & Experience:

• Experience using computerized billing systems in a service or healthcare environment.
• Background in social work or case management.
• Proficiency in Microsoft Word, Excel, and other software programs.

 
Education:
Required Education:

• Bachelor’s degree in Business, Management, Social Work, or a related field
  OR
• High School Diploma or GED with equivalent relevant experience.

Certifications & Licensure:
Required:

• State of Wisconsin and Federal Certified Application Counselor (CAC) designation
  OR
• Must obtain CAC designation within one (1) year of hire
  OR
• Current Licensed Insurance Agent (in lieu of CAC)
