Role Summary
The CE Operations Project/Program Manager will provide high-level operational, financial, and project management support across Customer Engagement Operations. This role manages end-to-end workflow execution for speaker programs, advisory boards, vendor contracting, purchase orders, accruals, cross-functional coordination, and compliance-aligned operational processes.
This role serves as a key liaison between Customer Engagement Operations, Compliance, Finance, Procurement, IT, and external partners. The ideal candidate is highly organized, process-oriented, detail-focused, and comfortable navigating complex enterprise systems in a regulated environment.
Key Responsibilities
Financial & Contracting Operations

Manage Customer Engagement Operations financial processes, including:
-
Monthly accruals (second and third month of each quarter)

Monthly financial reporting
-
Tracking vendor invoices and purchase order status
-
Partnering with Finance on financial submissions
-

Submit work orders and change orders through commercial approval systems.

Review and approve purchase order requests, ensuring accuracy of GL codes, WBS codes, and cost centers.

Partner with Procurement to secure approvals for engagements exceeding defined financial thresholds.

Track the purchase order lifecycle and initiate manual PO closures when required.
-
Coordinate with IT to complete vendor data security assessments, including privacy and information security reviews.
Speaker Program & Venue Review Operations

Manage the end-to-end venue review process for speaker programs, including:
-
Reviewing and triaging new venue submissions
-
Applying compliance and business rule criteria
-
Maintaining approved and restricted venue lists
-
Requesting system updates and communicating changes to external partners
-

Use predefined communication templates to send venue approval or denial notifications to field teams.
-
Partner with Compliance to ensure alignment with business rules.
-
Identify and recommend process improvements to streamline venue review workflows.
Advisory Board & Consulting Operations Support
-
Support healthcare professional contracting workflows, including process coordination and contract execution steps.
-
Manage advisory board financial reporting and accrual submissions to Finance.
-
Maintain financial trackers for advisory board and consulting engagements.
Cross-Functional Coordination
-
Act as a liaison among Customer Engagement Operations, Contracts, Procurement, IT Security, Finance, and extended operations teams.

Collaborate with IT Security to maintain up-to-date vendor security documentation.

Communicate with external partners regarding program updates, venue changes, and data-sharing requirements.

Ensure compliance across all operational workflows.
Systems & Tools

Utilize enterprise systems and tools including:
-
Commercial approval and contracting platforms
-
ERP systems for invoice approvals and PO tracking
-
Workflow management tools for venue submissions
-
Program management systems for speaker and venue data
-
Manual PO closure tools
-
Document management platforms for budgets, security assessments, and operational documentation

Qualifications
Required
-
6+ years of project or program management experience, preferably in commercial operations, medical operations, or compliance-driven environments
-
Strong experience in finance operations, including purchase orders, accruals, vendor management, and contracting workflows
-
Proven ability to manage multiple concurrent workflows in a fast-paced, cross-functional environment
-
Exceptional attention to detail and documentation
-
Strong written and verbal communication skills with the ability to produce compliance-ready communications
-
Proficiency with ERP systems, workflow tools, and enterprise collaboration platforms
Preferred

Experience working within pharmaceutical, biotech, or similarly regulated industries

Familiarity with speaker programs, healthcare professional contracting, and compliance-driven processes

Experience supporting field engagement reporting or vendor-driven program data

Understanding of data privacy and information security assessment processes
