Job Location: Secaucus, NJ- 07094
Job Duration: 1-2+ Months
Shift: M-F 9:00 AM - 5:00 PM
Hybrid schedule: 3 days per week in the office - 2 days work from home.
 
Pay Rate: $30/hr. on W2
 
Job Summary:
We are seeking a detail-oriented and organized Administrative Assistant to provide administrative support to a Director and/or a large staff. This role requires strong communication skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.
 
Key Responsibilities:
  • Answer and direct incoming telephone calls; greet and assist visitors professionally.
  • Assess and prioritize requests, determining appropriate escalation to supervisors or team members.
  • Schedule meetings and appointments; manage and maintain calendars.
  • Prepare materials for meetings, presentations, and staff activities.
  • Attend meetings as required and take accurate notes and minutes.
  • Prepare professional communications and documents, including emails, memos, invoices, and correspondence.
  • Research, coordinate, and book travel arrangements for staff members.
  • Complete and reconcile expense reports.
  • Respond to procedural and administrative inquiries.
  • Create, organize, and maintain electronic and paper filing systems.
  • Process, distribute, and manage incoming emails and correspondence.
  • Generate and analyze reports, when applicable.
  • Perform additional administrative duties as assigned to support business and customer needs.

Required Experience: 2–4 years of administrative or executive support experience.
 
Required Skills:
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to interact professionally with all levels of staff and customers.
  • Intermediate to advanced proficiency in Microsoft Word, Excel, and PowerPoint.
  • Proven ability to multitask, prioritize, and work efficiently in a fast-paced environment.
  • Strong attention to detail and organizational skills.
 
Qualifications:
  • High School Diploma or equivalent – Required
  • Bachelor’s degree in business or related field – Preferred
