Job Title: Administrative Assistant IV
Location: Hybrid – Maple Grove, MN 55311
Duration: 12 months W2 contract with high possibility of extension depending on performance and business needs.
Schedule: 3-4 days onsite, with travel between MG and Plymouth locations (approximately 15-20 minutes apart). Training will be at the Plymouth campus, MN 55442.
Shift Timing: 08:00:AM - 04:30:PM CST
Pay Range: $25 to $32/Hour on W2
Job Purpose:
Support complex project assignments within a specialized function while providing general administrative assistance to individuals and/or departments. Provide guidance and direction to others as needed. Works under minimal supervision and may operate without established procedures.

Job Purpose:
Support complex project assignments within a specialized function while providing general administrative assistance to individuals and/or departments. Provide guidance and direction to others as needed. Works under minimal supervision and may operate without established procedures.
Key Responsibilities:
- Perform general administrative tasks including photocopying, coordinating meetings and appointments, typing, faxing, ordering and maintaining supplies, arranging travel, and sorting mail.
- Communicate frequently with external organizations and key internal stakeholders, requiring tact, persuasion, and negotiation skills.
- Interpret and respond to policy-related questions.
- Serve as a key functional resource within the team.
- Manage various project components such as:
- Developing and following project timelines
- Coordinating large meetings and events (e.g., national trade shows)
- Preparing status reports, records, and documentation
- Securing vendor estimates, processing purchase orders and invoices, and ensuring vendor quality
- Overseeing project deliverables and reviewing project status and budgets
- Organizing schedules to meet deadlines and anticipating project challenges with contingency planning
- Conducting research and compiling information to support decision-making and recommendations
- Handle high-visibility projects requiring company resources.
- Develop, document, and administer procedures; provide guidance and training to others as needed.
- Translate complex and technical information into clear documents (letters, memos, presentations), anticipating communication needs and suggesting improvements.
- Maintain confidentiality of sensitive company information and advise peers on handling proprietary data appropriately.
Quality Systems Responsibilities
- Ensure quality compliance in all work processes and deliverables.
Qualifications:
- High school diploma or equivalent, with at least 5 years of related experience and advanced certification in the assigned area.
- Strong multitasking abilities.
- Experience managing expenses; Concur experience preferred.
- Excellent attention to detail.
- Strong understanding of deadlines and urgency.
- Exceptional written and verbal communication skills, comfortable interacting with all organizational levels, including executives.
- Poised and confident professional demeanor.
- Experience with calendaring and scheduling.
- Proficient in Microsoft Office Suite, especially Excel and Outlook.
