Event Coordinator

PRINCIPAL DUTIES AND RESPONSIBILITIES



1. Assist with Strategic Initiatives short-term, ad hoc and longer term projects.

2. Assist in maintaining program databases, spreadsheets, files, and program materials.

3. Assist with planning, coordinating, and supporting Family Office Initiative (FOI) events and meetings.

4. Create and organize project-related materials and communications; ensure all necessary materials are current, accurate, and properly filed.

5. Assist with scheduling meetings, taking meeting minutes, preparing reports, emails and correspondence.

6. Work with the FOI faculty director and steering committee to support and organize initiative s meetings and events.

7. Responds to inbound inquiries and emails in a timely manner; track inquiries.

8. Communicate and coordinate with internal and external partners.

9. Assist with managing event attendance, RSVPs, schedules and plans, and event related materials.

10. Assist with pre-event, onsite, and post-event logistics.

11. Prepare reports and complete special projects as requested.

12. Other duties as assigned.



Quals--

KNOWLEDGE, SKILLS, AND EXPERIENCE

1. Bachelor s degree required.

2. A minimum of 2 years of event support and coordination; previous higher education experience preferred.

3. Skills should include high proficiency in Microsoft Word, Outlook, PowerPoint, Excel and internet applications.

4. Outstanding verbal, written, with an attention to grammar and spelling, and presentation skills required.

5. Demonstrated high proficiency in MS Excel and PowerPoint.

6. Demonstrated proficiency with MS Office Word and Outlook, Zoom, Box, and Google Suite (Drive, Sheets, Docs, and Forms) required.

7. Qualtrics experience preferred.

8. Experience working with event registration platforms, Cvent preferred.

9. Excellent time management, organizational skills, attention to detail, basic math and finance skills required.

10. Ability to work independently; possess personal accountability and a self-motivated disposition.

11. Ability to handle multiple detailed tasks/projects simultaneously and meet strict deadlines with frequent interruptions required.

12. Demonstrated ability to work effectively and diplomatically with colleagues, as well as with students, faculty, trustees/senior level alumni and business leaders and internal school leadership in a multitude of communication methods i.e., in person, email, phone required.

13. Professional demeanor, including tact, discretion, and a customer service-oriented approach required.

14. Ability to work flexible hours to meet business needs required.



The role is hybrid and mostly remote (60-70% remote). When in-office is necessary it will be at 401 N. Michigan Ave, Chicago, IL 60611 with occasional in-office at Harper Center, 5807 S. Woodlawn Ave., Chicago, IL 60637 and Rubenstein Forum, 1201 E 60th St, Chicago, IL 60637.
