Service Contract Administrator
Job Title: Service Contract Administrator
Location: Brea, CA 92821
Duration: 3 Months+ (Possible Extension)
Pay Rate: $23.33 - $25/hr. on W2
Shift: 9-hour shift within 5:00 AM – 7:00 PM window
Work Type: [Full-Time/Contract – specify if known]
Job Summary:
Manages all aspects of the company’s service contract operations, including proposal preparation, contract negotiation, execution, and invoicing. Ensures compliance with contract terms, maintains accurate records, and provides exceptional customer service. Collaborates with internal teams and clients to drive revenue growth and resolve service-related issues.
Key Responsibilities:
- Process, track, and maintain all service contract proposals, renewals, and invoices in ERP and CRM systems.
- Verify purchase orders, match with invoices, and secure necessary approvals.
- Assist with monthly invoice processing to meet revenue targets.
- Maintain positive client relationships, explain service terms, and facilitate contract renewals.
- Collaborate with Sales, IT, and Support teams to identify revenue-generating opportunities.
- Ensure compliance with internal policies, procedures, and standard contract terms.
- Escalate customer issues related to service contracts to management and recommend service modifications if needed.
- File and maintain all documentation related to contracts and invoices.
Qualifications:
- Associates Degree with 2+ years of relevant experience, or Bachelor's Degree / equivalent experience in billing, invoicing, or contract administration.
- Excellent communication, organizational, and time management skills.
- Ability to thrive in a fast-paced, changing environment with a strong sense of urgency.
- Proficient in Microsoft Office (Word, Excel, Outlook); familiarity with Microsoft Dynamics, Microsoft 365, and Axapta preferred.
- Strong problem-solving skills and attention to detail.
- Team-oriented with leadership and collaboration abilities.
- French-speaking preferred, but not required.
Key Relationships:
- Internal: POC IT, Marketing, Tech Support, Field Service, Customer Service, Finance, Bids and Contracts, HR, IT.
- External: Customers and key purchasing influencers to maintain contract compliance and renewals.
