Position Summary:
We are seeking a highly organized, proactive, and collaborative Facilities Associate to support a broad range of essential facilities operations, vendor management, and workplace experience initiatives. This role plays a key part in maintaining a safe, efficient, and welcoming campus environment through project support, compliance tracking, vendor coordination, and administrative tasks.
The ideal candidate is detail-oriented, excels at managing multiple priorities, and thrives in a dynamic team setting. You will serve as a vital link between internal teams, the landlord, and external vendors—ensuring that projects stay on track, compliance is maintained, and the workplace continues to support a best-in-class employee experience.
 
Key Responsibilities:
Vendor Relations & Compliance (50%)
  • Manage vendor relationships, ensure performance expectations, and maintain compliance across services (cleaning, landscaping, maintenance, etc.).
  • Act as liaison with landlord representatives on daily operations, contractor safety, budget monitoring, and health & safety standards.
  • Track and document compliance for contractor safety training, building access, PPE adherence, and task completion.
Project Support (25%)
  • Assist Corporate Services leads with facility-related projects including planning, execution, and documentation.
  • Monitor action plans, follow up with stakeholders, and escalate issues as needed.
  • Contribute to space utilization, furniture coordination, and preventative maintenance efforts.
Team Collaboration & Back-Up (15%)
  • Support workplace hospitality and catering events.
  • Assist with transportation strategy implementation and tracking.
  • Back up colleagues for meeting room coordination, onboarding tasks, and access control management.
Administrative & Reporting (10%)
  • Manage documentation, SOPs, purchase orders, and compliance files.
  • Conduct building inspections and report findings.
  • Generate reports from key systems (e.g., access card data, vendor compliance, utilization metrics).
 
Required Skills & Experience:
  • Vendor Management: Proven ability to manage external vendors with a focus on compliance, service delivery, and relationship-building.
  • Project Management: Demonstrated experience supporting or leading facility management projects with the ability to manage timelines, track deliverables, and communicate progress effectively.
  • Communication: Strong verbal and written communication skills; capable of influencing and coordinating across stakeholders and vendors.
  • Organizational Skills: High attention to detail, ability to self-manage tasks, and follow through on multiple priorities.
  • Teamwork & Collaboration: Professional demeanor, customer service mindset, and ability to work cross-functionally.
  • Technology Skills: Proficiency with Google Workspace (gSuite) is essential. Familiarity with spreadsheets, analytics tools, or AI productivity tools is a plus.
 
Preferred Experience:
  • Experience in facilities or corporate workplace operations.
  • Familiarity with contractor safety programs, access control systems, or facilities compliance processes.
  • Understanding of corporate hospitality or event logistics.
