Job Title: Agency Coordinator Senior Specialist (ACSS).
Education Requirement: Associate degree.
Position Overview:
- The Agency Coordinator Senior Specialist (ACSS) acquires excavation/encroachment permits and traffic control permits for work performed in the Public Right of Way under the franchise agreement, as well as permits for work performed in the Caltrans Right of Way.
- This role provides permit acquisition support and reports to the Northern Division within the Construction Permit Organization (CPO).
Day-to-Day Responsibilities / Workload:
- Review complex project plans and construction drawings with planners to identify the permits required to support the construction of Client facilities.
- Determine appropriate internal resources to be utilized to obtain permits.
- Communicate with governmental agencies and external organizations to obtain favorable permit conditions for the installation of Client facilities.
- Develop and maintain relationships with permitting staff of governmental agencies to ensure accurate application submittals and timely permit approvals.
- Ensure permit applications are properly identified, prepared, submitted, and approved by responsible permitting agencies.
- Act as a single point of contact for internally and externally generated questions related to permit applications.
- Provide approved permits to project managers or construction personnel prior to the start of construction.
- Track permit application status and report updates to internal stakeholders.
- Mentor entry-level permit and contract specialists.
- Address unfavourable or unacceptable permit conditions and escalate as necessary.
- Support and monitor new business processes to meet project demands while maintaining work practices consistent with Client standards.
- Perform other responsibilities and duties as assigned.
Required Skills / Attributes:
- Three or more years of experience in permitting, planning, engineering, construction, inspection, utility design, and/or project management support.
- Experience acquiring encroachment, excavation, and/or traffic control permits.
- Proficient in interfacing with governmental agencies to obtain construction permits.
- Experience working within construction timelines and coordinating with construction personnel and clients.
- Ability to report project status to internal and external stakeholders.
- Experience acting as a point of contact for questions related to permit applications.
- Proficient in Microsoft Word, Excel, and Access.
