Job Title: Administrative Assistant
Job Location: Charlotte, NC
Job Duration: 11-12 Months (possibility of extension)

Job Summary:

  • Provides administrative support to the Nuclear Fuels and Chemistry department.
  • Partners with Director and Program Managers to coordinate administrative activities.
  • Performs a variety of administrative support to assist staff members with complex details and advanced administrative duties.
  • Executes special or continuous research-type work and data analysis tasks.
  • Analyzes problems, determines approach, completes and analyzes available data and makes recommendations.
  • Coordinates high level activities between divisions/departments and external contacts, including members.
  • Works with internal EPRI personnel at all organizational levels to gather and deliver critical information.

Key Responsibilities:

  • Provide administrative support including word processing, slides and presentations and production of reports.
  • Assists in writing, editing and authenticating technical and promotional materials including application papers, product descriptions, data sheets, specification books, conference presentations and brochures and partners with publishing or print services on final product.
  • Develop and maintain the database of important contacts/contracts using spreadsheets and EPRI’s CRM software (Microsoft CRM)
  • Track and follow-up on various action items to ensure schedules and due dates are met using client and Enterprise Content Management (ECM) software based on OpenText.
  • Coordinate calendars to manage priorities and avoid conflicts using MS Outlook
  • Assist in the creation/implementation of processes to support the organization.
  • Make travel arrangements and support expense report submission.
  • Order office supplies
  • Schedule and coordinate meetings using onsite and offsite meeting space, management of meeting materials, and facilitating meeting execution.
  • This may include a limited amount of travel ranging from 3-5 work days at a time and a few times per year.
Education and Experience:
  • Require High School diploma.
  • Require 3 to 5 years of experience as a Productary/administrative assistant.
Knowledge, Skills and Abilities:
  • Ability to prioritize work and manage multiple responsibilities.
  • Strong cooperative teaming attitude is a must.
  • Must be able to work effectively with all levels of internal and external customers.
  • Excellent computer skills, including knowledge of Microsoft Office, in particular, Outlook, Excel, Powerpoint and other specialized programs used by EPRI including Adobe.
  • Internet-savvy to navigate internet in searching for timely and relevant information as necessary.
  • Excellent organizational skills and attention to detail.
  • Excellent oral and written communication skills.
  • Ability to work under pressure to meet short deadlines, while supporting multiple staff.
