Job Title: AP Specialist
Location: Oakland, CA 94609 (Hybrid - Onsite 2-3 days a week)
Duration: 3 Months+ (Possible Extension)
Pay Rate: $24/hr. on W2
Position Summary:
This role supports the Accounting Department by handling all aspects of Accounts Payable (AP), including invoice processing, reconciliations, audit preparation assistance, and general administrative support. The AP Specialist will work under the supervision of the Accounting Manager and Controller, ensuring timely and accurate financial operations.

Position Summary:
This role supports the Accounting Department by handling all aspects of Accounts Payable (AP), including invoice processing, reconciliations, audit preparation assistance, and general administrative support. The AP Specialist will work under the supervision of the Accounting Manager and Controller, ensuring timely and accurate financial operations.
Key Responsibilities:
- Code and enter invoices into Workday promptly.
- Communicate with internal stakeholders and vendors for invoice clarifications, account statements, and billing discrepancies.
- Manage the AP inbox in Outlook professionally, responding courteously to inquiries from vendors and the client community.
- Review the AP aging weekly and ensure past-due balances are scheduled for payment.
- Assist with reconciliations and audit preparation.
- Perform special projects as assigned.
- Print and mail 1099s and 1096s annually.
- Ensure compliance with accounting procedures and internal controls.
Required Skills & Experience:
- 5–7 years of full-cycle Accounts Payable or general accounting experience.
- Strong written and verbal communication skills for collaboration with all levels of the organization.
- Ability to work independently and collaboratively, with sensitivity to staff, clients, and volunteers.
- Familiarity and comfort with web-based systems; proficient in Microsoft Office applications.
- Multi-fund accounting knowledge and non-profit accounting experience.
- Strong organizational skills, detail-oriented, and accurate.
- Ability to perform calculations including discounts, interest, commissions, proportions, and percentages.
Education:
- Bachelor’s degree in Accounting or equivalent experience strongly preferred.
