Job Description

Customer Job Title: Strategy & PMO Analyst

Assist the development of strategic deliverables such as presentations and analyses, and support the delivery of the FM Transformation Program via progress tracking, status recording and reporting, and action driving and documentation.

With respect to the Strategy portion of the role, the role directly supports the Director of FM Strategy & Transformation, who in his Strategy capacity, is responsible for the development of strategic deliverables such as executive presentations and analyses. These deliverables are often for leaders’ consumption and consideration, whether within FM, Pharmaceutical Supply Chain, or FM’s customers and stakeholders. Thus, they are often of a high-profile nature, and need to be delivered per deadlines and designed and formatted accordingly with crisp messaging and appearance.

With respect to the PMO Analyst portion of the role, the role directly supports the Global PMO Lead, who is responsible for maintenance of the FM Transformation Program plan and accurate status reporting of the various work streams and deployments comprising the Program, including Actions, Risks, Issues, and Dependencies. Each work stream has its own dedicated team, and key responsibilities for the PMO are to coordinate their deliverables and milestones across the program and escalate issues and risks in a timely manner.

The Transformation Program’s overarching goal is an enterprise model for FM, and objectives are quantitative and qualitative, including sustainable cost reduction from in-scope baseline spend, improved risk management, standardization of Pharmaceutical workplaces, harmonization of FM services, and optimization of employee experience.

An ideal candidate for this role will have demonstrated experience in strategic thinking and assessments of potential strategies, presentation design and delivery, project management, and data analysis and reporting. S/he will also have experience of working effectively across a multiple regions and multiple stakeholder groups, on cross-functional teams and within matrix organizations.

Key relationships include collaboration with the Director of Strategy & Transformation, the Global PMO Lead, and the Transformation Program work stream leads and core teams.
Executive presentations and analyses:
Deliver high quality on time:
Compelling and logical storyboards, appropriate use of visuals, and concise writing
Clear and well-structured presentations with no redundancy nor omissions
Innate ability to quickly identify the most meaningful messages and how to communicate them
Inherent understanding of the most impactful ways of displaying data in quick-consumption formats
Clean and simple design and formatting
Accurately interpret and assess the impacts, pros, cons, and risks of evolving inputs into functional strategy, whether driven by internal customer needs or external industry forces
Accurate status reporting, collated and presented in clear visuals:
Accuracy of project plan and timely completion of snapshots
Standardized ‘Weekly Leadership Update’ including overall EFM Program status and workstream-specific status (scorecards)
Standardized weekly reporting (snapshots) per workstream
Risks & Issues status reporting
Priority actions reporting
Visibility of other watchpoints – e.g. slippages, critical path / dependencies
Program rigor and engagement – via clear cadence and disciplines instilled and sustained in the team:
Thorough project plan updates and snapshot reporting (per the agreed cycle per workstream)
Workstream attendance of regular weekly update calls
Preparation of thorough weekly updates with Program Leadership
Clear meeting invites with the right attendees
Well prepared updates for leadership meetings, including timely pre-reads as applicable
Where appropriate, meetings’ key actions and decisions shall be noted and logged in the right place, with follow-up emails as appropriate (e.g. decision record emails)
Version control of key PMO documents, stored in the right locations, e.g. Project Plan, RAIDD Log
A well informed overall Program Team via regular cascade of program status details, successes achieved, summary decision records, slippages and watch points to all the work streams
Program health / status insights, timeline interventions and appropriate escalations:
True understanding of the Program Plan in order to flag watch points to Program Leadership (e.g. critical path slippages, risks, dependencies watch points, resource capacity issues)
Pro activity in driving resolution to delays:
Identify items on the plan which are delaying the Program (e.g. due to lack of sign-off, lack of meetings with the right people in the room)
Liaise with the work streams, discuss resolution options, remove blockages
Escalate as necessary to Program Leadership

Qualifications
Education:
Bachelor's degree or equivalent is required
Focused degree in Business, Finance, Engineering, Facilities Management, or a related discipline is preferred

Experience:
Required –
Minimum of 2 years of related experience
Preferred –
Minimum of 2 years of related experience at a competitive consultancy firm
Experience in facility management, financial management, or performance management
Experience managing multifaceted initiatives including planning, resource management, and communications
Experience managing transformational change
Experience managing global project teams
Experience creating effective relationships across multiple business functions
