Job Description:

  • Reports to one of the vice presidents (VPs) in Corporate Development and supports two vice presidents and other leaders in the department.
  • Specific job functions primarily support RFP Capture and Proposal Management for all key new business opportunities and reprocurement and includes the following accountabilities: 
  • For assigned projects, works with various departments and prepares planning documents and/or work plans to help achieve defined project goals. 
  • Capable of managing several projects and tasks simultaneously within tight time frames. 
  • Tracks work plan/project activities and identifies when tasks may be moving to alert status and escalates to management for timely resolution.
  • Participates in assigned project teams and assures action items and decisions are accurately documented and communicated and submits minutes within the agreed upon timeframe.  
  • Coordinates RFP-related and team meetings, including scheduling conference rooms, ensuring appropriate technology is available, tracking attendees’ availability, and ordering refreshments, as applicable.  
  • Documents utilizing pertinent Microsoft Office tools (Project, Word, Excel, PowerPoint, Visio).
  • Organizes and manages information in files (both paper and electronic) on SharePoint, network, and filing cabinets.
  • Serves as an assistant to two Corporate Development Vice Presidents and provides support to other leaders in the department.
  • Manages VP calendars, schedules travel, creates and submits expense reports
  • Enters and tracks RFP-related consultant statements of work into the Zycus contract and payment system.  
  • Submits Personnel Requisition Process for new associates and facilitates onboarding (ensuring a workspace, equipment, ID badge, systems security, etc.).
  • Other possible tasks include creating RFP and other team-related presentations, filing, ordering and tracking supplies, and assisting with proposal production by assembling materials for submission to state customers.

Required Skills:

  • One to three years’ experience
  • Detail oriented, ability to work in “gray areas” towards a solution.
  • Strong organizational and communication skills along with the ability to communicate with all levels in the organization.
  • Demonstrated ability to learn and apply the learning in a business environment.
  • Proficiency in Microsoft Office Word, Excel, Outlook, PowerPoint, SharePoint and Visio.
