This position will support the Capital Planning & Initiatives function within the Corporate Real Estate group at Client's headquarter in Foster City. Responsibilities include managing financial and analytical support such as, but not limited to, capital planning, project forecasting, budgeting, tracking, reporting and other Corporate Engineering & Facilities (CEF) initiatives. In addition, the position must demonstrate critical thinking and strategic analysis pursuant to the company's long term capital planning process and activities.
This position reports to the Director, Capital Planning & Initiatives and is located in Foster City, California.
Core Responsibilities
Aid in developing, implementing new processes and governance for facilities capital planning activities
Manage aspects of facilities capital forecasting and budgeting processes and systems working with internal personnel and/or external vendors
Perform capital planning analyses and representations
Support financial tracking for all project implementation; i.e. status, variance, risks
Liaise between cross-functional teams inclusive, but not limited to SH&S, Engineering, Facilities Management, IT, Master Planning & Workspace Design, Procurement, Real Estate & Lease and other functional stakeholders
Interface between budget and reporting tools to support management tracking, reporting and stage-gate decision making
Coordinate and manage cross-functional departmental capital expenditure records
Work with stakeholders and solicit inputs on upcoming capital expenditure needs
Coordinate forecast and budget to Finance partners' reporting requirements
Support logistics in Capital Planning meetings and governance structures
Support in developing CapEx and OpEx budget presentations
Proactively look for and execute continuous business and process improvement opportunities
Comply with financial reporting regulations and Client policies
Support a collaborative, respectful and inclusive working environment
Performance
Create workable and efficient templates of forms for defined process steps Guide users and monitor compliance to program requirements to ensure clarity, accuracy and timely execution
Collect and report on project status, budget forecast and variance, and key performance indicators
Collect and analyze benchmarking and program data for planning and initiative studies
Manage all capital planning and reporting documents and records
Manage logistics of periodic functional meetings
Compliance
Ensure in-house financial/accountancy standards are incorporated and followed in the development, implementation and maintenance of the capital plan and in the management and reporting of capital projects
Comply to all applicable Client policies and procedures
Risk
Monitor and record risks, financial and program implications, highlighted
Monitor and mitigate risks to implementing approved capital plan
Finance
Deliver insightful financial data analysis
Support CEF and Finance in relation to the fulfilment of LE and ECC submissions
Report on capital plan, forecast and variance accurately
Business Partnering
Support the Capital Planning and Initiatives team in partnering with functions such as Finance, Contracts, Legal, Procurement, Internal and External Audit and the rest of the broader CEF team
Continuous Improvement Process
Support the identification and implementation of procedures and processes; promoting a consistent approach to Capital Planning
Seek opportunities to replicate best practice from Region to Region
Work closely with other CEP functions to help promote alignment on the delivery of projects and drive performance improvements where possible
Profile
Working knowledge of facility capital planning Experience of performing data analytics
Understanding of accounting and financial reporting principles
Experience of developing and managing standardized work flow documentations
Must be able to work on highly complex problems in a variety of situations where analysis is required. Solve problems using considerable and rational judgement, leading to routine and specific recommendations
Must be a team player with sufficient experience working in multiple cross-functional teams and in leading discussions
Proficient at collecting, analyzing and understanding data. Use of techniques and methods to present data in a format that promotes effective and evidence based managerial decision-making
Able to develop schemes, systems and programs for continuous improvements
Proficient at planning and scheduling own and group activities to accomplish objectives and goals
Excellent written and interpersonal skills
Effective communicator; experienced and proficient at presenting to various groups of people
Relevant experience of partnering with 3rd parties/suppliers/consultants
Specific Education & Experience
Musts
Relevant university degree such as Engineering, Business Administration, Finance, or Facilities Management
Minimum of 3 years of relevant working experience
Experience in handling multiple tasks and projects simultaneously
Knowledge and/or experience within the Pharmaceutical, or highly regulated sector
Good English speaking and written communication and report writing skills
Practical experience in using software such as MS PowerPoint and MS Excel
Preferred
Practical experience in using software such as MS Access, MS Excel, ThinkCell and Tableau
