Medical Affairs Associate Project Manager - Coordinator
3 days onsite/week
The Medical Affairs Strategic Planning & Operations Team is looking for the right candidate to dive right in and get down to business. You have initiative and are able to identify and problem solve, are tech-savvy, perform well under pressure and have a results-oriented mindset. The position is in a team-oriented environment.
This position is in a pharmaceutical company and part of the Oncology Medical Affairs Strategic Planning & Operations organization.
This role would support the day-to-day operations of the US & Global Medical Affairs team as follows:
• Administrative support: create, review and track requisitions, purchase orders and invoices. Assist in contract creation/submissions and procurement process
• Maintain and manage files across all relevant SharePoint sites
• Meeting organization and assistance: setting up and attending virtual and internal meetings, working closely with department administrator on all aspects of meeting management: oversight of attendees list, setting agenda, requesting slides, running the slides during the meeting, taking thorough meeting minutes.
Engaging with all functions to consolidate materials for project meetings and deliverables, as needed
• Assist Business Operations in the day-to-day financial management for both US & Global Medical Affairs, which may include creating, managing, reconciling, and reporting forecasts and spend, including various functions within Medical Affairs team
• Fiscal management to include working with US and a variety of country and regional offices (EMEA and Japan/Asia) to gather information and coordinate populating appropriate budget worksheets (excel) to completion
• Support other financials and related deliverables, assisting in updating and consolidating monthly reports
• Support meetings with alliance partners, working closely with counterpart to set up meetings, agenda, slide consolidation, follow up with team members for deliverables, provide high level agreements/action items via meeting minutes and supplemental communication, as needed.
• Support other small projects as needed
• Role success will require intermediate skills in MS Teams, Excel and PowerPoint
Requirements
• Project management experience preferred
• Familiar with contracting process and SRM a plus
• Experience in facilitating meetings
• Excellent organizational skills and ability to manage multiple projects and prioritize work
• Strong attention to detail
• Self-starter with excellent written and verbal communication skills
• Highly proficiency in MS Office tools, specifically Excel, PowerPoint, MS Teams
• Proactive approach collaborating across the organization and to external partners with diplomacy and a firm understanding of other’s roles and perspectives, demonstrating a commitment to continuous improvement
• 4 year college degree
• 2 - 3 years Pharma Industry or similar experience
• 40 hour work week (which includes occasional early morning or evening meetings)
• Hybrid work, with 3 days on site
